Overview

Under supervision, performs confidential administrative and secretarial functions. Provides detailed administrative support to  assigned staff. Answers phones and handles other routine office tasks. 

Responsibilities

  • Performs a variety of routine and responsible administrative, secretarial, and clerical functions.
  • Conducts routine preliminary research including contacting department/site administrators.
  • Prepares reports and drafts by researching, assembling, and summarizing information and data.
  • Files documents and/or forms with various state and federal agencies.
  • May review and screen incoming correspondence and communications.
  • Makes meeting arrangements for the department.
  • Creates printed materials (handouts) for special projects and meeting.
  • Tracks invoices received from outside clients
  • Handles Expense Reports and check requests for in-house department
  • Handles special projects as requested.

Qualifications

  • Modern office technology, including related software applications; correct English usage, including proper grammar, punctuation, and spelling; strong organizational skills; strong communication skills both oral and written.
  • Proficiency in MS Office (MS Excel and MS Word) and Google Docs 
  • Effectively and efficiently performs a wide variety of responsible administrative, secretarial, and clerical duties and activities requiring independent judgment with speed and accuracy.
  • Performs job assignments with numerous interruptions and constantly changing priorities; learn, interpret, apply, and explain policies and procedures; prepares and maintain accurate and complete records and reports.
  • Maintains confidentiality; independently compose correspondence; operate computer programs and software; understand and carry out oral and written instructions; communicate effectively and with diverse personalities encountered in an extremely active office environment; comply with the Company’s customer service standards, as outlined in Board Policy.
  • Four years of progressively responsible administrative, or secretarial and clerical experience, preferably in a construction or educational setting.
  • Minimum of a High School diploma or its equivalent.
